Set up OpenTodo for a small team

Accounts, shared projects, boards and assignees for a team of a few people, on a server the team controls.

Last reviewed

OpenTodo suits small teams that want a fast shared task list without a heavyweight process. Here is a setup that works for three to fifteen people.

Accounts

Projects and boards

Create one shared project per stream of work. Use sections for stages and switch the project to a board for a Kanban view: Backlog, This week, Review, Done.

  • Assign each task to one person, so it shows in their “Assigned to me”.
  • Discuss in comments on the task, and @mention people to notify them.
  • The activity feed shows who did what across shared projects; see notifications.

A weekly rhythm

Spend fifteen minutes together each week on the board: move what is done, pull the next tasks into This week, and check estimates against the Week calendar.

Templates to start from

The Product launch template is a ready-made team board, and the First 90 days template helps a new teammate get going.

Connect your tools

Webhooks send task events to a chat relay or automation tool, and the API lets scripts create tasks, for example from a monitoring alert.

Your to-do list, on your own server.

Try the demo in your browser. When you like it, install OpenTodo on your server and import your tasks.

OpenTodo is free and open source, with no paid tier. If it helps you, a star on GitHub helps other people find it, and a coffee helps keep it going.
