Change several tasks at once

The Home renovation project with its tasks grouped under the sections Planning and In progress.

On this page

Tick tasks, then act on all of them in one go.

Tick the tasks#

  • Keyboard: press x (or Space) to tick the selected task, Shift+↓ or Shift+↑ to extend the range, and Ctrl+A (⌘+A) to tick the whole list once something is ticked. Esc clears the ticks (after closing the panel).
  • Mouse: Ctrl/⌘+click a task to tick it without opening it, Shift+click to tick a range. Once a task is ticked, every row shows a checkbox in place of its circle until the selection is cleared; otherwise the circle always completes the task.
  • Touch: tap Select above the list to show every checkbox, and Done when you are finished.

Choose an action#

While tasks are ticked, a bar above the list says how many and offers Actions (or press .): complete or reopen, priority, labels (added to all, or removed from all), a date (today, tomorrow, next week, none, or one you pick), move to a project or section, assign, and move to the Trash. The usual keys work on the whole selection too: c, 1 to 4, L, Shift+A and Delete. With nothing ticked, . opens the same menu for the selected task. It works in projects, the Inbox, Today, Upcoming, the Filter view and saved views, also offline.

Preview and undo#

Moving and assigning show the changes first, task by task, because they can change who sees a task or notify someone: Enter applies the checked ones, Esc changes nothing. Everything else applies at once, and a notice with Undo stays for ten seconds (Ctrl/⌘+Z works too). Undo puts every task back in one step, except a task someone changed again since, which keeps the newer value and is named. See also Undo a bulk action.
